Event lighting is temporary on purpose
Most outdoor lighting is an installation. Event lighting exists for a date. A wedding, a milestone birthday, a corporate evening, a reception: the lighting exists for a single evening. That changes the whole approach, because there is no version of this you fix next weekend.Which changes the working relationship. An installation has time to be adjusted. An event is judged in about four hours. So the planning happens early, the contingencies get discussed out loud, and nothing important gets left to the day itself.
The date does not move
Permanent work can slip a week. An event cannot. That means the conversation has to start earlier than people expect. Even a modest setup has the same steps, and none of them compress.
Power is where outdoor events go wrong
The most common outdoor event problem is not design, it is electricity. Where the power comes from, how far it has to travel, and how the cable is managed belong in the first conversation.

Weather has a vote
An outdoor date carries weather risk. Ask early: what changes if it rains. Knowing whether the setup can move under cover, whether the date can shift, and who decides is worth more than any fixture choice.
What tends to matter at an event
At an outdoor event there are two jobs: making it look right and letting people move safely. Atmosphere lives overhead and at the focal point. Function means the route in, the steps and the way out, and it gets forgotten until somebody trips. Both need to be in the plan. Only one of them ends up in the photographs.
Who else needs to agree
Venues come with constraints, and finding them out late is expensive. When you can get in, what you can touch, and when it all has to come out are venue decisions. Introduce them before the week of. It is the cheapest thing you can do and it prevents the most.
Most people overestimate
The instinct with an event is more. Outdoors after dark, a modest amount of light goes a very long way. The spaces that people remember are almost always lit less than people expect, with warm light and real darkness between the lit areas. A designer who says the plan is already enough is usually right.
